Terms of service.
For Retreats.
Acceptance onto the retreat is subject to the following:
Receipt of deposit and/or payment in full
Written confirmation from Rachel Okimo Wellness
Completed health & indemnity form
PAYMENTS:
All prices and payments are in Sterling GBP. Payment can be made by bank transfer in GBP. Please ensure any transfer charges are covered by the sender. If booking online, you will be offered an additional secure payment method by debit or credit card.
This payment is automatically taken in full and includes the 50% non refundable deposit.
Via EFT - Electronic Fund Transfers (EFT):
The payment can be made in full and includes the 50% non-refundable deposit.
A 50% non-refundable deposit can be made to secure your reservation with emailed bank confirmation within 24hours.
Balance is payable 60 days prior to arrival
If your booking is made within 60 days of the retreat date then the full amount is payable at the time of booking.
All bank charges must be charged to you. Failure to do so will result in a shortfall in your payment received. Should the deposit / balance payment not be received within the time frame specified, Rachel Okimo Yoga reserves its right to cancel your booking(s) and to charge the applicable cancellation fees set out below.
CANCELLATIONS:
If you cancel your booking, cancellation fees will apply. A cancellation will only be effective once written confirmation of the cancellation is received and an acknowledgment has been confirmed. If you cancel your retreat:
61 days or more prior to the retreat start date, we will retain the deposit;
60 days or fewer prior to the retreat date, we will retain 100% paid by you in connection with the booking.
We advise you take out cancellation insurance at the time of booking, which will help cover any cancellation fees. If you fail to join a retreat, arrive after the commencement of the retreat, or leave the retreat prior to its completion, no refund will be made.
HEALTH AND INDEMNITY:
In your confirmation of booking email, you will receive a link to our online Health & Indemnity form. The information in the H&I form is there to offer you the safest and most appropriate yoga practice for your current level of health and fitness. The H&I form is a prerequisite to your stay and attendance is subject to the completion of this form. Based on the form information, you may be required to submit medical documentation to support that you are permitted to participate on the retreat.
INSURANCE:
Please ensure that you have full travel insurance to cover the activities of this holiday. It is strongly recommend that you obtain appropriate travel insurance at time of booking to cover cancellations or loss of items and medical expenses. Rachel Okimo Yoga is not liable for any loss or damages incurred through circumstances beyond reasonable control. You are strongly recommend it cover cancellation, curtailment, personal liability and loss of luggage and personal effects. Rachel Okimo Yoga does not accept liability for loss or damage to your personal property or any medical condition, which may develop during or after your holiday. Your travel insurance should cover these and any other contingencies.
EXCLUSIONS:
Without limitation, Rachel Okimo Yoga, is not responsible or liable for bodily injury, death, delays, changes or losses caused by, but not limited to acts of God, war, threat of war, closure of airports, civil strife, natural disasters, accidents or any other events beyond or within our control; guests' injuries, illnesses, medical or psychiatric conditions developed during or subsequent to the holiday; loss of/or damage to personal property of guests.
UPDATING THE TERMS AND CONDITIONS:
Rachel Okimo Yoga reserves the right to update and/or alter these terms and conditions at anytime, and it is your responsibility to be familiar with them prior to booking. The latest terms and conditions can always be found above and will supersede any previous versions.
For private sessions.
General.
Please be ready at the start of your session. Unless otherwise agreed, personal yoga sessions are 60mins in duration.
Please inform me of any new or existing conditions that may impact your session before our session starts.
Where possible please inform me by message or email of any circumstances affecting your practice at least 24hours before your session.
If you need to reschedule or cancel your session please do so no later than 48hrs before your session start time. Late cancellations will be charged at the full session rate.
Rescheduling will be accommodated wherever possible but cannot be guaranteed.
If you or anyone in your household are suffering from any Covid-19 related
symptoms it is important that you inform me and cancel any upcoming sessions.
Guests and transfers.
Sessions unless otherwise specified before our agreed appointment date are with the client only.
Any guests or changes to the person taking the session will have to be agreed in advance of the session. If this person is not previously known to me, due to health and safety, they will not be invited to join.
Sessions are not transferable to other parties.
New clients.
If you are starting sessions with me for the first time. You are required to fill out a health and indemnity form and wellness questionnaire. Please answer and send these documents back to me via email at least 72hrs prior to our initial assessment.
Our initial consultation is a 90min session charged at £150.00 Please be advised that the session consists of a physical yoga practice and enquiry of your wellness goals and relevant medical & exercise history.
Equipment can be provided for our initial session. For further sessions I can advise you on the best equipment to invest in for your yoga practice
Payment.
Sessions are to be paid in full in advance at the beginning of the month for the upcoming monthly schedule.
In order for me to offer the best and most consistent service I require all clients to agree to a convenient and permanent time slot for their continued sessions.
Unless payment default or inconsistent attendance/cancellations occur, The agreed session times will not be offered to another client.
Your invoice includes all agreed sessions for the upcoming monthly cycle. (Session rate x no.of session in monat cycle) Please check the dates before completing payment. By completing payment you confirm session dates and times and cancellation policy applies.
Please complete payment before the start of the new schedule cycle.
The session rate is determined by our permanent agreed time slots.
If you need to amend or cancel your sessions please inform me a minimum of 7 days before the start of our new monthly cycle.
Injury, illness and travel.
Permanent agreed time slots cannot be guaranteed on return from extended travel/injury/absence periods of 45 days or more.
In the event of short term injury or illness paid sessions will be transferred to the next monthly cycle.
Illness especially during the Covid-19 pandemic is taken extremely seriously. If you or anyone in your household are suffering from any symptoms DO NOT attend your session. Please inform me of any positive test results without hesitation.
For Group classes.
Please refer to alternative T&C’s for classes held in collaboration with health & well-being businesses.
Rachel Okimo yoga requires participants of group classes to inform her in advance of any contraindications to practicing physical yoga postures and or yoga breath work. This includes pregnancy at all stages. Please note that the practice of yoga is not advised during the 1st trimester of pregnancy.
Participants accept full responsibility for their wellbeing during the class. The class sequence is offered as a suggested guideline to follow, which should be modified accordingly to accommodate your ability, fitness and experience levels.
Open level classes are not suitable for beginners. If in doubt to what class is suitable for you please contact Rachel prior to the scheduled class start time.
You are strongly advised not to join an online class if you are unfamiliar with Rachel’s classes or have limited experience of vinyasa based class styles.
Payment for online classes and workshops are requested at the time of booking by credit or debit card via a secure checkout system.
For classes, cancellation must be made a minimum of 24hrs prior to the event start time to receive a full refund or transfer to another future class.
Workshops are non-refundable and require 48hrs cancellation notice to be eligible for a transfer to a future workshop or event. Transfers are conditional to availability. Transfers cannot be guaranteed.
